Introduction

The journey of continuous improvement is a path filled with dedication, strategic thinking, and meticulous execution. One such inspiring journey is that of Aleksandra Mozdzynska, who undertook the Black Belt services training. Guided by the expertise of Master Black Belt Mike McInnes, Aleksandra’s commitment and proficiency have led to significant advancements within her project. This blog details her outstanding achievements and the transformative impact of her work.

Project Overview: Expanding the Reproductive Tissue Programme in Scotland

Scope and Objectives

Aleksandra’s project was centred around expanding the Reproductive Tissue Programme in Scotland. The existing programme was confined to the central belt, limiting access for patients across the country. The primary objective was to increase the geographical reach without compromising the quality and safety of tissue and cell products. The need for this expansion was critical, as it would ensure equitable healthcare services for all patients in Scotland, aligning with the NHS’s goals.

Specific Assignments

The project required a thorough assessment of the current reproductive tissue program to identify areas for improvement. Aleksandra’s task was to enhance efficiency and free up staff time, which would subsequently allow the facilitation of approximately 20 additional patients per year. The focus was on generating soft benefits and optimising resource allocation.

Actions and Methodology

Team Formation and Tools Utilised

Aleksandra assembled a team comprising individuals with relevant expertise and experience. She also included members from different work streams to provide fresh perspectives. The project utilised Lean Six Sigma tools such as Fishbone diagrams and brainstorming sessions to identify root causes and potential solutions. Other tools that were used include Hypothesis Testing to look for differences between hospitals and identify root causes, as well as FMEA to assess process risks and take action to reduce their impact.

Process Improvement Strategies

The project highlighted that staff time was significantly consumed by travel to retrieval sites. By transferring the retrieval responsibilities to hospital theatre staff and validating a new tissue transport box, Aleksandra’s team could extend the geographical coverage without increasing staff travel. Training hospital staff to perform tasks previously managed by TCAT staff was another crucial aspect of the project.

Results and Impact

Quantitative Outcomes

The project yielded impressive results, with total hard savings amounting to £14,495 per year across three hospitals. This translates to 394 hours of Band 6 staff time, valued at £36.6 per hour. These savings facilitated the accommodation of an additional four ovarian or three testicular patients annually, without requiring extra resources.

Soft Benefits and Sustainability

The improvements not only resulted in financial savings but also enhanced operational efficiency. The project introduced a robust control plan, incorporating process timings and patient statistics into the tissue donation logbook. This ensured continuous monitoring and sustained improvement.

Lessons learned

Reflecting on her journey, Aleksandra expressed profound satisfaction with the outcomes. The project not only enhanced her professional skills but also made a tangible difference in patient care. She acknowledged the invaluable guidance of her coach, Mike McInnes, whose expertise was instrumental in navigating the complexities of the project.
